For baby photographers

Book the newborn calendar from the third trimester.

In-House is your AI marketing team. It actually books the newborn studio calendar three months out: a separate page for the 5-21-day newborn, the 100-day, the 6-month sitter and the 1-year cake-smash so parents stop confusing your sessions, a maximum-21-days-of-life booking-window-discipline that catches third-trimester parents in the pre-arranged-deposit window, and a Baby Plan multi-session upsell that locks in $1,500-$4,500 of revenue per family.

Three options. Only one actually works for your business.

Agency
$2,500 to $4,000 / mo
Slow. Expensive. Removed from your business.
A quarterly bookings report you read on Friday, twelve generic 'precious moments' posts, and an account manager who has never seen a 14-day-old being settled into a wrap. The newborn calendar is half-empty three weeks out, the 100-day session has zero bookings this term, and the Pinterest-board search for 'newborn photographer Sydney' lands on the studio two suburbs over with the cleaner Instagram grid.
DIY tools
$120 to $250 / mo + your evenings
Cheap, but it just hands you a dashboard.
Squarespace, Pic-Time, ShootProof or Pixieset, Honeybook for contracts, Later, Canva, Google Ads. Cheap, but you cull the newborn set at 11pm Thursday, edit the cake-smash on Friday between feeds, write captions Sunday night, and the third-trimester Meta layer you mean to ship for the next intake of late-2026 babies never gets out.
ACTUALLY DOES IT
In-House
$299 / mo flat
Cheap, and it actually does the work.
The AI marketing team writes the captions, ships separate pages for the 5-21-day newborn, 100-day, 6-month sitter, 1-year cake-smash and Mother-and-Baby Watercolour, runs the third-trimester Meta layer at week 28 of pregnancy, drafts the antenatal-class and lactation-consultant referral introductions, and pulls every newborn family into a Baby Plan with 6-month and 1-year follow-up sessions. You shoot, you approve the week, you stop losing the 14-day booking window because nobody booked the deposit at 32 weeks pregnant.

The 14-day window is unforgiving. The Baby Plan is where the LTV is.

The reality

Newborn photography lives with a brutal calendar constraint: the optimal posed-newborn session window is 5 to 14 days of life, with absolute hard-stop at 21 days because past that babies stop sleeping through the prop poses. That's a 9-day window per baby, fully booked or empty. A studio cannot fix it after the fact: a parent who didn't book the deposit at 32 weeks pregnant ends up booking a 4-week-old lifestyle session somewhere else and the studio loses the Baby Plan ($890 newborn + $400 sitter + $700 cake-smash = $1,990 average) for a one-off $400 session. Meanwhile, the parents Pinterest-deep in newborn-inspiration boards from 28 weeks of pregnancy land on Anne Geddes-style and Kelly Brown-style international portfolios on Instagram, then search 'newborn photographer Sydney' and land on whichever studio ranks for the suburb plus 'newborn photographer'. The studio with the better Newborn Posing Certification, the Westcott Newborn-poseable-light, the 25-degree studio heater, and the maximum-21-days-of-life booking discipline sits on page two because their site has one '/sessions' page that doesn't separate newborn from 100-day from cake-smash. The studios that book out three months in advance are not the most talented. They are the ones with separate pages per session type, a Meta layer targeting third-trimester parents, and a referral pipeline from antenatal classes, lactation consultants, women's-health physios and private midwives who already see the parent in the 32-weeks-pregnant booking window.

What good looks like

Good newborn-photography marketing is three things, in this order: a separate page for every session type (5-to-21-day posed-and-wrapped newborn, 5-to-21-day lifestyle-and-naked newborn, 100-day milestone, 6-month sitter, 1-year cake-smash, family-with-newborn) so a 32-weeks-pregnant parent searching 'newborn photographer Sydney studio posed' lands on a page specific to the posed newborn studio session (not a generic page that also covers cake-smashes), a permanent Meta layer running on 28-to-36-weeks-pregnant women in the studio's 15km radius with the 'booking 12 weeks out for late-2026 babies' message and a deposit-now CTA, and a Baby Plan multi-session offer (newborn + 6-month sitter + 1-year cake-smash bundled at $1,990) that's the default not the upsell. The studios that book out three months in advance are doing exactly this.

The 14-day window is hard-stop
Posed newborn sessions only work in the 5-to-14-day window, hard-stop at 21 days. If the deposit didn't land at 32 weeks pregnant, the booking is lost: parents end up booking a lifestyle session at 4 weeks with whoever has capacity, never the studio whose work they actually preferred.
The Baby Plan multi-session is where the LTV lives
A standalone newborn session is $890. A Baby Plan (newborn + 6-month sitter + 1-year cake-smash) is $1,990-$3,500. Studios that don't structure the Baby Plan as the default offer lose 60 percent of LTV. The good ones lock in the 6-month sitter at the newborn session sign-up.
One '/sessions' page for five different session types
Newborn (5-21 days, posed-and-wrapped), 100-day milestone, 6-month sitter, 1-year cake-smash and family-with-newborn are five different sessions, five different price tiers, five different parent search terms. One '/sessions' page loses every one of them.

Real work. Not a slide deck.

When to book a newborn photographer in Sydney: the 28-week deposit window

1,300-word guide written in your voice, explaining the 5-to-21-day shooting window, why bookings happen at 28-32 weeks of pregnancy not after baby is home, the Baby Plan (newborn + 6-month + 1-year) bundle, the difference between posed-and-wrapped and lifestyle-and-naked, and a soft CTA to your deposit form. Catches the 32-weeks-pregnant parent researching from a Pinterest board who hasn't decided which studio yet.

Account Lead

Sets the plan around the third-trimester booking window and the Baby Plan continuum: a permanent Meta layer on 28-to-36-weeks-pregnant women in the studio's 15km radius, a hard-rule that every newborn booking is offered the Baby Plan bundle at sign-up (not after the session), and a 6-month-and-1-year follow-up sequence that fires the moment the baby hits 4 and 10 months. Briefs the other agents so the session pages, the third-trimester Meta layer, the behind-the-scenes reels and the antenatal referral introductions all push toward booking the newborn calendar 12 weeks out and locking in the Baby Plan LTV.

Imports your existing portfolio site so you stop paying Squarespace plus Pic-Time plus Honeybook, and ships separate pages for every session type (5-to-21-day posed-and-wrapped newborn, 5-to-21-day lifestyle-and-naked newborn, 100-day milestone, 6-month sitter, 1-year cake-smash, family-with-newborn, Mother-and-Baby Watercolour Painting Package). Adds the Baby Plan bundle pricing on every newborn page, the 25-degree-studio-heater and Newborn Posing Certification trust signals, and a 28-weeks-pregnant deposit-now CTA on the newborn page.

SEO Agent

Owns whether your AIPP, NPIA and Newborn Posing Certification credentials actually show up in search. Adds them to the Google Business Profile, structures the services list around session-type categories, ships LocalBusiness and Product schema on every session page, and earns review prompts from every Baby Plan family at each session in the plan. Auto-applies the low-risk fixes.

Runs a permanent Meta layer targeting 28-to-36-weeks-pregnant women in the studio's 15km radius with the 'booking 12 weeks out for late-2026 babies' message and a deposit-now CTA. Adds Google search ads on 'newborn photographer [suburb]', 'baby photographer [suburb] studio' and 'cake smash [suburb]'. Drops broad 'photographer' bids that bring in wedding and headshot enquiries you don't take. Adds a separate Meta layer for the 4-month sitter follow-up and the 10-month cake-smash follow-up.

Turns every consented behind-the-scenes shot, milestone session and gallery delivery into a post in your real accounts: a Wednesday-morning newborn-session behind-the-scenes reel, a 100-day milestone carousel, a 6-month sitter belly-laugh reel, a 1-year cake-smash highlight, a Baby Plan return-family thank-you. Builds the Pinterest-and-Instagram-stalking trust signal that converts the 28-weeks-pregnant parent before they pick a studio.

Drafts the long-form pieces that catch parents in the 28-to-36-weeks-pregnant window and the milestone-session nudges that pull the Baby Plan through to the 1-year cake-smash: 'when to book a newborn photographer in Sydney', 'posed-and-wrapped vs lifestyle-and-naked newborn sessions: what's the difference', 'the Baby Plan explained: newborn + 6-month + 1-year', 'cake smash photography: what actually happens', plus a 4-month-and-10-month milestone-booking sequence that triggers automatically, and referral-introduction emails for antenatal-class educators, lactation consultants and women's-health physios. Two long-form pieces a month.

The heavy lifting comes off your plate the day you sign up. Here is what you see by the end of week one.

  • Session-type pages (5-to-21-day posed newborn, 100-day, 6-month sitter, 1-year cake-smash, Mother-and-Baby Watercolour Painting Package) split out of the catch-all 'sessions' page and indexed by day 7.
  • Baby Plan bundle pricing ($1,990 for newborn + 6-month + 1-year) wired into every newborn page as the default offer, not the upsell.
  • Permanent Meta layer launched on 28-to-36-weeks-pregnant women in the studio's 15km radius with the deposit-now CTA.
  • Newborn Posing Certification, AIPP and NPIA membership badges hoisted above the fold on every newborn-session page.
  • 25-degree studio heater and maximum-21-days-of-life booking discipline surfaced sitewide as the safety-and-quality trust signal.
  • 4-month and 10-month milestone-booking sequence drafted to fire automatically and pull the Baby Plan through to the 1-year cake-smash.
  • First fortnight of behind-the-scenes newborn-studio reels queued from the footage you filmed between sessions.
  • Referral-introduction emails drafted for the antenatal-class educators, lactation consultants and women's-health physios in your studio's catchment by day 14.

The bottom line

Newborn photography doesn't fail at the shoot. It fails at the booking window (the deposit that didn't land at 32 weeks pregnant means the 14-day window passes empty) and it fails at the Baby Plan (a one-off $890 newborn session is a $1,100 revenue loss against a Baby Plan that bundles the 6-month sitter and 1-year cake-smash at sign-up). The marketing work is the per-session-type page library, the third-trimester Meta layer, the antenatal-and-lactation referral pipeline, and the 4-month-and-10-month milestone-booking sequence that pulls the Baby Plan through to the cake-smash.

Agencies are too dear to actually run the session-page library and the milestone-booking sequence for $3.5k a month for a one-woman newborn studio. Tools are cheap but you cull the newborn set at 11pm Thursday and the 4-month sitter follow-up to last week's newborn family is always 'next week'. In-House is the third option: for $299 a month the agents ship the session pages, run the third-trimester Meta layer, post the behind-the-scenes reels, draft the antenatal referral introductions, and fire the milestone-booking nudges. You stay in the driver's seat, two taps to approve between sessions. Book the calendar 12 weeks out, lock in the Baby Plan, stop losing the 14-day window.

Frequently asked.

I deliver via Pic-Time and contract via Honeybook. Do I have to leave them?
No. Pic-Time stays where it is for gallery delivery, print fulfilment and the in-app product catalogue. Honeybook stays for contracts, invoicing, deposit collection and the Baby Plan payment plan. In-House imports the public-facing studio site so you stop paying for a second CMS plan, and from then on new session pages, blog posts and milestone-booking emails push to your live site directly. The Honeybook deposit form links from your session pages exactly like it does today, and the Pic-Time gallery links go out the same way.
The 5-to-14-day window is really tight. What if a baby comes early or late?
Onboarding records the studio's policy on early/late babies and the platform handles it. Standard practice is to hold the deposit for any baby born within four weeks of the expected date and re-book the session to fit the actual 5-to-21-day window. The Web Agent's deposit form makes the policy explicit so parents understand the flexibility before they commit. For inductions, planned caesareans and high-risk pregnancies, the Account Lead notes the date discipline differently and the Baby Plan continues regardless.
Will the captions sound like AI? My clients are pretty perceptive.
They will sound like you, because the Social Media Agent learns from your existing posts during onboarding and you approve every draft before it ships. You film a 60-second behind-the-scenes between settling poses, the agent drafts the caption from what's in the footage (the baby's name with consent, the prop, the wrap, the lighting setup, the time in the studio), you approve in two taps. If a draft is too cutesy or too detached, you correct it once and the voice updates for next time. Identifiable newborn faces never appear without explicit consent set on the upload.
I mostly do cake-smash and 1-year birthday sessions, not newborn. Does this still fit?
Yes, the session-mix flexes accordingly. Onboarding asks which sessions you actually shoot and which you want more of. If cake-smash and 1-year birthday is the core, the session-page library leads with those (themed cake-smash backdrops, family-with-baby first-birthday packages, the cake-and-bath setup), the Meta layer targets parents with babies born 9 to 13 months ago in the studio's radius, and the social grid shows behind-the-scenes from cake-smash sessions. The newborn-page library scales back proportionally.
How does the Baby Plan default work in practice? My current clients book one session at a time.
The Account Lead briefs Content Agent to redraft the booking pages so the Baby Plan is the headline price ($1,990 for newborn + 6-month + 1-year) and the standalone newborn ($890) is the 'or book just the newborn' alternative below. Most parents who would have booked the standalone now book the Plan because they don't want to re-decide at 6 months and 12 months. Studios that adopt this lift Baby Plan take-up from 12 percent of newborn bookings to 55-65 percent, lifting average LTV per family from $890 to $1,500-$1,800.
Can I cancel if it isn't working?
Two taps, any time. No exit fees, no notice period, no six-month minimum. You keep your imported site, the session pages, the Baby Plan pricing, the Google Business Profile work, the Pic-Time and Honeybook integrations and the photo library. The data is yours.
